Prerequisites
Before you begin, ensure you have:
- An SDP Admin role with NSFAS access on your tenant
- Learners enrolled and linked to programmes
- NSFAS reference details for your funded students
Step 1: Open the NSFAS Dashboard
Navigate to NSFAS β Dashboard.
The dashboard shows Total Funded, Pending Updates, Last Sync, and Evidence Packs, with quick links to Learner Funding, Sync Jobs, Evidence Packs, and Reports. The recent sync activity feed tells you when data was last reconciled with NSFAS.
Use Sync Now to trigger a reconciliation or Generate Evidence Pack to jump straight to pack creation.
Step 2: Manage Learner Funding
Navigate to NSFAS β Funding.
The funding table lists each student with their programme, NSFAS status (Approved, Pending, Provisionally Funded, Declined, Appeal), funding amount, disbursed amount and percentage, and last sync. Use the search and the status, year, and programme filters to find specific records.
Summary cards show Funded Students, Pending Verification, Total Disbursed, Allowances Due, and Declined.
Tip: Use the per-row Sync action to refresh a single studentβs status without running a full sync.
Step 3: Sync with NSFAS
Use Sync with NSFAS on the funding page (or Sync Now on the dashboard) to reconcile funding status and disbursements. Watch the recent sync activity feed to confirm the job completed and review any pending updates that need attention.
Tip: Run a sync before generating any evidence pack so the disbursement figures are current.
Step 4: Export a Funding Report
Use Export Report on the funding page to produce a snapshot of funded students, disbursements, and allowances for internal review or finance reconciliation.
Step 5: Generate Evidence Packs
Navigate to NSFAS β Evidence.
- Click Generate Evidence Pack (or choose a pack type card: Registration Evidence, Attendance Evidence, or Disbursement Evidence).
- Choose the Pack Type (Registration, Attendance, Disbursement, or Comprehensive).
- Select the Academic Year and the Student Scope (All, By Programme, or Selected).
- Add a description and generate.
Generated packs appear in the list with a status of Ready or Processing, and a Download button delivers the pack as a ZIP for NSFAS audits.
Tip: The Comprehensive pack bundles registration, attendance, and disbursement evidence β use it when an auditor requests a full file.
Common Mistakes to Avoid
- Generating packs from stale data β sync first so disbursement figures are accurate.
- Ignoring Pending Verification β these students may miss disbursements if not actioned.
- Wrong academic year on a pack β double-check the year before generating.
- Overlooking Declined and Appeal statuses β follow up so funded learners are not dropped.
- Skipping attendance evidence β NSFAS audits frequently request attendance proof.
Verification Checklist
Before an NSFAS audit, verify:
- A recent sync has been completed
- No unresolved Pending Verification records
- Disbursement percentages match finance records
- Declined and Appeal cases reviewed
- Required evidence packs generated and downloadable
- Compliance rate on the evidence page is acceptable
