Summary
This guide shows SDP and admin users how to issue Statements of Results (SoR) in skillSYMS from a learnerโs completed assessment data. A correctly issued SoR confirms competence across the qualification and is a prerequisite for EISA submission and certification, so readiness checks before issuance matter.
Who This Guide Is For
- SDP staff issuing Statements of Results
- Administrators managing certification records
- Compliance officers preparing for EISA and QCTO submission
Prerequisites
- All required results recorded and moderated to Final (see Recording Competency Decisions)
- The learnerโs enrolment and programme details complete and accurate
- Your organisationโs SoR template configured (see Certificates & Verification)
Step 1: Review the SoR Workspace
Navigate to SoR.
The Statement of Results page shows Total Issued, Pending Issuance, This Month, and Downloaded. The table lists each learner with their programme and certificate number, type (Full Qualification, Part Qualification, Skill Programme, or Short Course), status (Draft, Issued, Downloaded, Revoked), and issue date. Filter by Status, Type, or Programme to find records.
Step 2: Run Readiness Checks
Before issuing, confirm the learner is genuinely ready:
- All knowledge and practical modules are marked Competent
- The contributing results have passed moderation to Final
- Enrolment and personal details are complete and correct
Tip: Issue the SoR only after moderation is Final. A SoR issued on unmoderated results undermines the EISA readiness check that depends on it.
Step 3: Issue a Statement of Results
Click Issue SOR and follow the issuance flow for the selected learner. Once issued, the record moves to Issued status and a certificate number is assigned.
Step 4: Distribute and Track
For an issued SoR you can View the record and Download the document. The Quick Actions bar offers Bulk Download for a batch, Templates to manage the document layout, and Export to NLRD for national learner records reporting.
Tip: Use Bulk Download at the end of a cohort rather than downloading one by one โ it keeps a consistent set for your records and for the learners.
Step 5: Manage SoR Status
Track each record through Draft โ Issued โ Downloaded. If an SoR was issued in error or is superseded, revoke it so its status reads Revoked and it is no longer treated as valid downstream.
Common Mistakes to Avoid
- Issuing before moderation is Final โ readiness checks downstream will be unreliable
- Wrong SoR type โ choose Full vs Part Qualification (or Skill Programme / Short Course) correctly
- Leaving errored records as Issued โ revoke them instead
- Skipping the NLRD export โ national reporting depends on it
Verification Checklist
- All contributing results are Final after moderation
- Learner enrolment and personal details are accurate
- The correct SoR type is selected
- The SoR is Issued with a certificate number assigned
- Superseded records are Revoked, and NLRD export is up to date
Next Steps
- EISA Registration โ submit SoR-ready learners for EISA
- Certificates & Verification โ issue and verify certificates
- Recording Competency Decisions โ the results behind each SoR
