Prerequisites

Before you begin, ensure you have:

  • An SDP or admin account with academy access
  • Your training content and SOP documents ready
  • A clear idea of which roles each module or SOP is for
  • Staff and learner accounts that will access the content

Step 1: Open the Academy Hub

Navigate to Academy β†’ Overview.

The hub gives you an at-a-glance view of available modules and SOPs and overall engagement. Use it to manage your in-app learning library.

Tip: Treat the Academy as your single source of truth for β€œhow we do things here.” When a process changes, update the SOP rather than emailing a new version around.

Step 2: Manage Academy Modules

Navigate to Academy β†’ Modules.

Here you manage the learning modules available in-app. Each module guides a user through content and can include an assessment and a certificate on completion. Confirm modules are set up and visible to the right audience.

Step 3: Publish SOPs

Navigate to Academy β†’ SOPs.

Create and publish standard operating procedures β€” step-by-step guides for how your provider handles key tasks. Well-maintained SOPs make onboarding faster and keep your team consistent.

Step 4: Direct Staff and Learners to the Content

  • Staff and learners reach modules from the learner-facing Academy area.
  • Learners can also browse in-app guides for help using the platform.

Point new team members to the Academy on day one so they self-serve their onboarding.

Step 5: Track Progress and Certificates

As users complete modules, progress and assessment results are recorded, and completers can earn a certificate. Use this to evidence that staff have been trained on key procedures.

Common Mistakes to Avoid

  1. Outdated SOPs: Update the SOP when a process changes β€” don’t let stale steps circulate.
  2. Wrong audience: Make sure each module or SOP is aimed at the right role.
  3. No onboarding path: Tell new staff to start in the Academy, or they won’t find it.
  4. Ignoring completions: Use progress records as evidence of training, especially for compliance.

Verification Checklist

Before relying on the module, verify:

  • Academy modules are visible to the intended audience
  • At least one SOP is published and readable
  • A user can start and progress through a module
