Managing Campuses & Delivery Sites

Add and maintain your training campuses—addresses, capacity, head office, and the data QCTO reporting relies on.

Summary

Campuses represent your physical training and delivery sites. Recording them accurately lets you link offerings to a site, apply the correct accreditation in QCTO exports, and track learners per location. This guide shows you how to add, edit, and organise campuses.

Prerequisites

Before you begin, ensure you have:

  • Admin access to your skillSYMS tenant
  • The physical address and province of each campus
  • Optional: campus codes, capacity, and contact details

Step 1: Open Campuses

Navigate to Settings → Campuses (/sdp/settings/campuses).

The page shows summary stats—Total Campuses, Active, Accredited, and Total Learners—plus a searchable list of your sites.

Step 2: Add a Campus

Click Add Campus and complete:

  1. Campus Name (required, e.g., Main Campus)
  2. Campus Code (optional, e.g., CAM001)
  3. Physical Address (required)
  4. Province (required)
  5. Capacity (optional)
  6. Contact Email and Contact Phone
  7. This is the head office — tick for your primary site

Click Save Campus.

Tip: Set one campus as the head office. It’s flagged in the list and used as your default site where applicable.

Step 3: Edit a Campus

Click Edit on any campus card to update its details. The same form opens pre-filled; make your changes and click Save Campus.

Step 4: Search and Filter

Use the search box to find campuses by name or code, and the status filter to show only Active or Inactive sites.

Once your campuses exist, assign accreditations to them under Settings → Accreditations. The Accredited stat on the campuses page reflects how many sites have an accreditation linked.

Tip: Offerings delivered at an accredited campus use that accreditation’s SDL number and provider code in QCTO exports—so capture campuses before configuring offerings.

Common Mistakes to Avoid

  1. No head office set: Mark one campus as the head office to avoid ambiguity.
  2. Missing province: Province is required and feeds reporting—don’t leave it blank.
  3. Inconsistent codes: Use a clear, consistent campus code scheme.
  4. Campuses without accreditation: A site with no linked accreditation may fall back to the organisation default in exports.

Verification Checklist

Before moving on, verify:

  • All delivery sites are added as campuses
  • Each campus has a complete address and province
  • One campus is marked as the head office
  • Accreditations are linked where required
  • The stats reflect the expected totals
