Summary
As a facilitator you deliver training and keep the day-to-day record straight: who attended, what was covered, and how learners are progressing. This guide gets you oriented in the facilitator portal.
Who This Guide Is For
- Facilitators and trainers delivering QCTO programmes
- Workplace mentors who run sessions and record attendance
Prerequisites
- A facilitator account (your SDP administrator invites you and assigns the facilitator role)
- Your assigned classes/cohorts set up by the provider
Step 1: Sign In and Open Your Dashboard
Sign in at /login and open the Facilitator dashboard (/facilitator). It lists your classes, upcoming sessions, and items needing attention.
Step 2: Manage Your Classes
Go to Classes to see the cohorts assigned to you, the learners in each, and the modules being delivered.
Step 3: Take Attendance
- Go to Attendance.
- Open (or create) the session for today.
- Mark learners present using your providerβs method β manual, QR code, or geo-fence.
- Save the session.
Tip: If your provider uses geo-fencing, learners check themselves in when on site β you only need to confirm and handle exceptions.
Step 4: Share Learning Materials
Go to Materials to distribute resources to your learners for each module.
Step 5: Track Progress and Evidence
Review learner progress and the evidence theyβve submitted, and give feedback where your role allows. Flag learners who are falling behind so they get support early.
Common Mistakes to Avoid
- Forgetting to save the session β unsaved attendance wonβt appear in reports.
- Wrong session date β confirm the date before marking attendance.
- Not flagging at-risk learners β early intervention improves completion rates.
Verification Checklist
