Tracking Evidence Coverage

Use the Curriculum Coverage report to see which outcomes have sufficient evidence and whether a learner is ready for a Statement of Results.

Summary

The Curriculum Coverage report shows, at a glance, how much of a QCTO curriculum is backed by evidence — broken down by Knowledge, Practical, and Workplace modules. You can view coverage for a whole programme or drill into a single learner, see exactly which outcomes are still missing evidence, and check whether a learner is eligible for a Statement of Results (SoR). Learners get a simpler version of the same picture on their own dashboard.

  • Anyone preparing a learner for a Statement of Results

Prerequisites

Before you begin, ensure you have:

  • An SDP or assessor login (learners use their own dashboard — see Step 5)
  • A programme with a mapped curriculum (modules and outcomes)
  • Some evidence already uploaded against that programme

Step 1: Open the Coverage Report

Navigate to Evidence → Curriculum Coverage.

You’ll see four summary tiles across the top — Overall Coverage, Knowledge Modules, Practical Modules, and Workplace Modules — plus a programme selector and three module columns below.

Step 2: Select a Programme

In the Select Programme card, choose the programme you want to review.

The report loads and the tiles fill in:

  • Overall Coverage — the percentage of all outcomes that have sufficient evidence
  • Knowledge / Practical / Workplace — coverage for each QCTO component type (KM / PM / WM)

Tip: The three component percentages tell you where to focus. A high Knowledge score but low Workplace score usually means logbooks and on-the-job evidence are lagging.

Step 3: Read the Module Breakdown

Below the tiles, modules are grouped into three columns by component type.

Each module card shows:

  • The module code and name
  • A status icon — complete, partial, or not started
  • A covered / total outcome count
  • A progress bar

Use this to spot which specific modules are dragging coverage down.

Step 4: Work the Missing Evidence Table

Scroll to Missing Evidence.

This table lists every outcome that still needs evidence, with its module, outcome code and name, and the required evidence type. Each row has an Upload link that opens the Upload page pre-filled with that module and outcome.

Tip: Treat this table as your to-do list. Clearing it to zero is the practical definition of a complete portfolio.

Step 5: Check a Single Learner and SoR Readiness

To assess one learner:

  1. With a programme selected, choose a learner in Select Learner
  2. Coverage recalculates for that learner only
  3. An SoR Readiness banner appears at the top

The banner shows one of two states:

  • Ready for Statement of Results — all requirements met; an Issue SoR action appears
  • Not Yet Ready for SoR — shows the coverage percentage and a list of outstanding requirements to complete first

Tip: SoR readiness only evaluates when both a programme and a learner are selected. With “All Learners” you’ll see programme-wide coverage but no readiness verdict.

Step 6: The Learner’s Own View

Learners see a simplified coverage page at My Coverage on their dashboard. It shows:

  • Overall progress
  • Units competent (assessments)
  • Evidence verified vs. total
  • A per-module progress list

This is read-only for the learner and is a good thing to point them to so they understand what’s left to do.

Step 7: Refresh After Uploads

After uploading new evidence, return to Coverage and click Refresh (or re-select the programme).

Coverage recalculates so you can confirm the gaps you targeted have closed and the SoR readiness verdict has updated.

Common Mistakes to Avoid

  1. Reading programme-wide coverage as per-learner — select a learner before judging an individual’s readiness
  2. Ignoring component balance — a strong overall score can still hide a weak Workplace component
  3. Forgetting to refresh — coverage won’t reflect new uploads until you refresh or re-select
  4. Issuing an SoR too early — wait for the green “Ready” banner, not just a high percentage
  5. Skipping the Missing Evidence links — they auto-link the outcome and prevent mismatched uploads

Verification Checklist

Before issuing an SoR, verify:

  • The correct programme is selected
  • A specific learner is selected (not “All Learners”)
  • Knowledge, Practical, and Workplace components are all sufficiently covered
  • The Missing Evidence table is empty for that learner
  • The SoR Readiness banner shows “Ready for Statement of Results”
