Prerequisites

Before you begin, ensure you have:

  • An SDP or admin account with live-sessions access
  • Live sessions enabled in your provider settings
  • A scheduled cohort or learner list to invite
  • A device with a working camera and microphone

Step 1: Open the Live Sessions Hub

Navigate to Live β†’ Overview.

The hub shows upcoming and active rooms and recent activity. Use it as the starting point to create or join a session.

Tip: Confirm live sessions are enabled in SDP settings before your first class β€” the hub reads that setting to allow room creation.

Step 2: Create a Room

Navigate to Live β†’ Rooms.

  1. Click New Room
  2. Give it a name (for example, the module or cohort)
  3. Save to generate the room and its join code

You can also start an instant meeting from here for ad-hoc sessions.

Step 3: Schedule Sessions

Navigate to Live β†’ Schedule.

Set the date and time for upcoming sessions so they appear on the calendar and learners know when to join. Scheduling ahead also keeps your usage records tidy.

From a room, copy the join link or room code and share it with learners through Communications or your normal channel. Learners can also find rooms by code.

Step 5: Run the Session

Open the room from Live β†’ Rooms and join. Inside the live classroom you can present, use video and audio, and interact with learners in real time. End the session when finished so the room closes cleanly.

Step 6: Capture Attendance Evidence

Navigate to Live β†’ Evidence.

After a session, attendance and participation are captured as evidence you can attach to learner records β€” useful for proving contact time on online deliveries.

Step 7: Review Usage

Navigate to Live β†’ Usage.

The usage view shows session counts and participation over time. Use it to monitor adoption and keep within any plan limits.

Common Mistakes to Avoid

  1. Sessions not enabled: If room creation is blocked, check SDP settings first.
  2. Sharing the wrong link: Send the learner join link, not your host view.
  3. Not ending rooms: End sessions so usage and evidence record correctly.
  4. No evidence captured: Check the Evidence screen if you need attendance proof.

Verification Checklist

Before relying on the module, verify:

  • Live sessions are enabled in SDP settings
  • A room can be created and a join link copied
  • A session can be scheduled
  • You can join and end a live session
  • Attendance evidence appears after a session
